McMahon Services is seeking a highly organised and professional Executive Assistant / Legal Team Administrator to support our Chief Risk & Compliance Officer / General Counsel and the broader Legal team.
This role plays a key part in enabling the effective operation of McMahon Services’ Legal function, combining executive assistance with hands-on legal administration. It is well suited to someone who thrives in a fast-paced, confidential environment and enjoys working across multiple priorities and stakeholders.

About the Opportunity
Reporting to the Chief Risk & Compliance Officer / General Counsel, you will provide executive-level support while coordinating administrative, reporting and systems-based activities for the Legal team. You will work closely with internal stakeholders, insurers and external parties to ensure legal workflows, documentation and reporting are managed efficiently and accurately.
What You’ll Do
- Provide diary, email and meeting management support to the CRCO
- Coordinate meetings, correspondence, travel, catering and events for the Legal team
- Monitor and manage Legal inboxes, triage enquiries and track matters
- Prepare legal correspondence, documentation and document comparisons
- Maintain legal registers, dashboards and contract execution processes
- Support insurance queries, claims and tender/project insurance documentation
- Process invoices, purchase orders and expense reconciliations
- Prepare reports, presentations, minutes and action registers
What You’ll Bring
- Experience supporting senior leaders or professional services teams (e.g. legal, risk, compliance, finance or corporate services)
- Familiarity with document management systems and structured workflows
- Experience coordinating correspondence, registers, reporting or dashboards
- Confidence working in fast-paced, high-accountability environments
What Will Set You Apart
- Experience in a EA role
- Experience supporting a Legal team, in-house counsel or professional services environment (but note previous experience in a legal environment is advantageous but not mandatory)
- Familiarity with document management systems (e.g. iManage) and document comparison tools
- Experience coordinating workflows, triaging enquiries and managing registers or dashboards
- High level of discretion, attention to detail and confidence working with confidential information
